GLOW Performance Course – Terms and Conditions
These Terms and Conditions apply to all students enrolling in any GLOW Performance Course offered by The Pole Room. By enrolling, paying a deposit or participating in rehearsals, you agree to the following:
1. Eligibility to Participate
1.1 Students must hold an active membership at The Pole Room throughout the duration of the course.
1.2 Enrolment is subject to course suitability and availability.
1.3 Students must be physically able to participate and may be required to obtain medical clearance if recovering from injury or illness.
1.4 The Pole Room reserves the right to refuse or cancel enrolment if a student is deemed unsuitable for a course level or style.
2. Course Structure and Inclusions
2.1 Each GLOW course includes eight 2 hour rehearsals held weekly over an 8 week period.
2.2 Participation also includes a stage performance at the GLOW showcase event, professional photography by Danceflicks and professional videography by HoneyDrops.
2.3 The Pole Room may adjust rehearsal times, locations or instructors if necessary. Reasonable notice will be provided where possible.
3. Fees, Deposits and Payments
3.1 The total course fee is $480.
3.2 A $100 non-refundable deposit may be used to secure a place in your preferred course.
3.3 Students choosing the $100 deposit option must set up a payment plan or final payment date with the studio, with the full balance due by February 1st.
3.4 Failure to pay the remaining balance by the deadline may result in the forfeiture of the student’s place.
3.5 Course fees are non-transferable to other services, courses or individuals.
4. Refund and Cancellation Policy
4.1 Deposits are strictly non-refundable, even if the student withdraws.
4.2 Withdrawals made after full payment has been processed are not refundable, except where required by Australian Consumer Law.
4.3 If The Pole Room cancels a course due to insufficient enrolments (minimum 5 students) or operational reasons, students will receive either:

A full refund, or

Placement in another suitable course, if available.
4.4 If the GLOW showcase event is rescheduled due to venue, operational or force majeure circumstances, the course will continue and students will be provided reasonable notice of new event dates.
5. Attendance Requirements
5.1 Students are expected to attend all rehearsals to maintain group cohesion and performance quality.
5.2 If a student misses a rehearsal, they must catch up at their own cost, which may require a private training session.
5.3 Failure to attend key rehearsals may result in removal from the final performance at the discretion of the instructor or management.
5.4 No refunds or partial refunds are provided for missed rehearsals.
6. Costume, Hair and Makeup
6.1 Students are responsible for the cost of their own costume, accessories and hair and makeup for the performance.
6.2 Instructors will provide costume guidance based on the choreography and theme.
6.3 Costumes must comply with The Pole Room’s safety and modesty requirements.
6.4 The Pole Room reserves the right to request changes to costumes that are unsafe, unsuitable or non-compliant.
7. Behaviour and Conduct
7.1 Students must behave respectfully towards instructors, fellow students, staff and venue personnel.
7.2 Bullying, harassment, discrimination or behaviour that disrupts rehearsals may result in removal from the course without refund.
7.3 Students must follow all safety instructions and use equipment appropriately.
8. Photography and Videography
8.1 By participating, students consent to being photographed and filmed by Danceflicks, HoneyDrops and The Pole Room.
8.2 Students grant The Pole Room the right to use performance and rehearsal footage for marketing, advertising and promotional purposes, unless a written request for exclusion is submitted prior to course commencement.
8.3 Students will receive digital versions of professional photos and video as part of the course inclusions.
9. Injury, Safety and Liability
9.1 Students acknowledge that pole and aerial activities carry inherent physical risks.
9.2 Students participate at their own risk and must inform instructors of injuries or health concerns prior to enrolling and throughout the course.
9.3 The Pole Room is not liable for injuries sustained due to misuse of equipment, failure to follow instructions or pre-existing conditions.
9.4 Students must follow all safety protocols at rehearsals, backstage and at the performance venue.
10. Stage Run-Through and Performance Day
10.1 Attendance at the stage run-through on event day is compulsory unless otherwise approved by the instructor.
10.2 Late arrival may affect staging, formations or participation in the final performance.
10.3 Students must comply with venue rules, bump-in and bump-out times, backstage procedures and any direction from The Pole Room or venue staff.
11. Course Changes and Instructor Discretion
11.1 The Pole Room may adjust course content, choreography or structure in response to safety needs, student capability or show requirements.
11.2 Instructors maintain creative control over routine design, costuming guidelines and performance decisions.
11.3 Students may be reassigned to another course if their level or availability is not aligned with the original booking.
12. Tickets and Spectator Information
12.1 Tickets for the GLOW showcase are sold separately and are not included in the course fee.
12.2 Pricing and sale dates will be announced prior to the event.
12.3 All audience members must comply with venue and event rules.
13. Force Majeure
13.1 The Pole Room is not liable for delays, changes or cancellations caused by circumstances outside its control, including but not limited to venue issues, illness, pandemics, natural disasters or government restrictions.
13.2 In such cases, reasonable alternative arrangements will be made where possible.
14. Acceptance of Terms
By enrolling in a GLOW Performance Course, you acknowledge that you have read, understood and agree to these Terms and Conditions.

The Pole Room is committed to protecting your personal information in accordance with the Australian Privacy Principles.
By enrolling in a GLOW Performance Course or participating in the GLOW showcase, you acknowledge and agree to the following:

We may collect personal information such as your name, contact details, emergency contact information, billing details, membership status, images and video recordings for the purposes of running the GLOW program, managing your enrolment and ensuring your safety. -
Use of Personal Information
Your personal information may be used to:-

Photography and Videography
GLOW includes professional photography and video recording of the event. By participating, you consent to:-
being filmed and photographed during rehearsals and the final showcase

The Pole Room using these images and recordings for marketing, promotional, archival and commercial purposes

Storage and Security
Your personal information is stored securely, and we take reasonable steps to protect it from loss, unauthorised access or misuse. -
Third Parties
We may share necessary information with:-
professional photographers and videographers

theatre and venue staff

payment providers (e.g. Stripe, Afterpay, ZIP)

emergency services if required
These parties are given only the information required to provide their service.
